Booking a Study Room (room booking now available online!)

Q: Am I permitted to make a booking for a study room?

A: if you are an Acadia University STUDENT you are permitted to make study room bookings.


Q: What do I need to do to make a booking for a study room?

A: A valid Acadia ID is required. Room booking reservations must be made in-person at the Access Desk (have your ID with you), or online at https://jasper.acadiau.ca/libs/Roombook/roombook.cgi?formname=login
During peak use times, we suggest that you reserve a room in advance.


Q: Are there limitations on how many bookings I can have, or on how long my booking can be?

A: There are two limitations placed on room bookings. At any given time, a patron cannot have more than two bookings on their account, and those bookings cannot exceed a total of 4 hours in length.


Q: Is there a fee for using a study room?

A: Use of study rooms is free but fines are imposed for returning the key late (see Fines and Regulations).


Q: When the time arrives for my booking to begin, what do I need to do?

A: You need to come to the Access Desk with your Acadia ID card to sign out a study room and pick up the key.  Only the person who booked the room can sign out the key. This applies to ALL room bookings, including ones for group meetings and bookings made online. 


Q: What happens if I arrive late for picking up the key?

A: Rooms are released for use by other students if the person who booked the room has not charged out the key within 15 minutes of the reserved booking time.


Q: How far in advance can I make a room booking?

A: You can make a booking up to one week in advance online and up to three months in advance at the Access Desk.

Viewing and Canceling Study Room Bookings

Q: I have forgotten what time my room booking begins. How can I find out?

A: You can check your room booking online by going to https://jasper.acadiau.ca/libs/Roombook/roombook.cgi. Click on “View or cancel your current room bookings”, and then log in. Your current room booking(s) will be displayed.

Q: I no longer need the room I booked. What should I do?

A: You can cancel the booking online by going to https://jasper.acadiau.ca/libs/Roombook/roombook.cgi. Click on “View or cancel your current room bookings”, and then log in. Your current room booking(s) will be displayed with an option to cancel if you wish.

Q: I made a mistake doing an online booking and the times for which my booking is scheduled are not what I want. How can I change it?

A: You cannot change a booking online but you can cancel it and then create a new one. To cancel go to https://jasper.acadiau.ca/libs/Roombook/roombook.cgi. Click on “View or cancel your current room bookings”, and then log in. Your current room booking(s) will be displayed with an option to cancel

Group Study Rooms - Studying with Friends

Q: Can an individual or a group consisting of two people make a booking for one of the large group study rooms?

A: No. The larger group rooms are only for groups of three or more people.


Q: Can another member of my group pick up the key for a booking made on my account?

A: Only the person who booked the room can sign out the key. This applies to ALL room bookings, including ones for group meetings.


Q: If my group member has a booking for the same room as me immediately after my booking do we need to come to the Access Desk when the first booking ends or can we simply stay in our study room?

A: You will need to visit the Access Desk to have the key removed from the first person’s account and placed on the second person’s account. The result of not visiting the desk could be that the first person’s booking becomes overdue and incurs fines while the second booking may vanish after 15 minutes when the second booking isn’t signed-out in the system.


Q: I’m not sure which study room my group has booked. Can you let me know where they are?

A: Library Staff are not permitted to relay information about room bookings to anyone other than the person who made the booking. Feel free to use the “Friend Finder” bulletin board near the vending machines to see if your group has left directions to help you find them.


Q: I need to let my group know which room I have just booked, but I have no way to contact them. What can I do to help them find the right room?

A: Feel free to use the “Friend Finder” bulletin board near the vending machines to leave a message to help your group members find you. Anyone making an inquiry about finding group members is directed by us to this board.

Q: How many study room do you have available?

A: We have 19 study rooms in the library. They consist of nine larger group rooms, nine smaller 1-2 person rooms, and one viewing room set aside for viewing VHS/DVD videos.


Q: How many people can fit comfortably in the study rooms?

A: This largely depends on how much desk space is needed per person, but for the larger group rooms, a group of six can usually fit comfortably with the largest room (GRP-313) often being able to comfortable fit up to ten people.
The smaller 2-person rooms can comfortable fit two people but can also accommodate three people when lesser amounts of desk space per person are needed.


Q: How many wired internet connections are available in each room? How strong is the wireless internet in each room?

Fines and Regulations

Q: Can I leave the library with my study room key?

A: Study room keys must remain in the library. If you must leave the library you can leave the key with a staff member at the Access Desk. Be sure to inform the staff member that you are not done with the room and that you will return for the key before your room booking expires.


Q: Is there any penalty for returning a study room key late?

A: Room keys are due back at the Access Desk 5 minutes before the hour or half hour (eg. 10:55 or 2:25). Fines of $5.00 per hour or part thereof are levied on late key returns. Fines begin to accumulate as soon as the key is overdue.


Q: How can I avoid fines?

A: To avoid late fees, we suggest that you set your watch, or Microsoft Office Outlook, to remind you when your key is due, or check your current bookings to view the time when your room key is due.


Q: All the study rooms are booked. What are the other options available within the library?

A: During peak periods when study rooms are fully booked, we encourage you to use other areas in the Library. For quiet study, there are workspaces on the 2nd, 3rd, and 4th Floors. As well, the Quiet Reading Room on the Main Level is a designated quiet space. For group project work, feel free to use the tables in the Reference Area on the Main Floor.

Please respect others who are also using the study rooms by keeping the noise to a minimum and by placing your garbage in containers provided in the public areas.

Rooms are for study and for group meetings.  Please return the key to the Access Desk to be made available for someone else if you plan to be away from the room for more than a few minutes.Thank you.
